The questions that reveal the most about a platform are not the ones the vendor is expecting. They are the specific, operational questions that expose gaps in accounting architecture, support quality, and integration reliability — the things that determine whether you are happy with the system in 18 months, not just in the demo.
Accounting and Trust Accounting Questions
- Is trust accounting built into the platform or handled through a QuickBooks integration? This is the most important question for any professional management company holding owner funds. An integration means the accounting lives in a separate system. Built-in means it is part of the same architecture as reservations.
- Does the platform maintain separate owner ledgers? Ask the demonstrator to show you an individual owner ledger — the transaction history for a single owner across all their properties. If they cannot pull this up immediately, that is a signal.
- Can you generate a trust account reconciliation report? Ask them to show it. A real trust accounting system can produce a report showing the trust account bank balance, the ledger balance, and the sum of all individual owner sub-ledger balances in one view.
- Does the platform support electronic 1099 and 1042 filing directly? Not through a third-party export, but natively within the platform.
- How are owner reserves tracked? Reserves should appear as a separate line in the owner ledger and should be reflected in the trust account balance, not netted out.
Channel Management Questions
- What is the sync frequency for availability updates to Airbnb and Vrbo? Real-time or near-real-time (under 5 minutes) is the standard. Anything slower creates booking conflict risk.
- Is this a direct API connection or a third-party connector? Direct API connections are more reliable. Third-party connectors add a dependency that can fail.
- How are channel errors communicated? Ask them to describe what happens when a channel sync fails. A well-built system alerts you. A poorly built one fails silently.
Support Questions
- Can I reach support by phone? Ask specifically about phone support, not just chat and email.
- What is the average response time for support tickets? Get a specific number, not a general commitment to responsiveness.
- Does the support team have vacation rental industry experience or just software support experience? This matters when you are asking about trust accounting or an owner statement discrepancy.
- Can I speak with a customer managing a portfolio similar to mine before I sign? Any vendor confident in their product will say yes without hesitation.

- What is the pricing trajectory over the past three years? Pricing increases after acquisition or funding rounds are common in this category.
